Job Title: Quality and Services Team Assistant

Location: Glasgow or Perth (Must be flexible to travel between locations as required)

Salary: £24,923 - £32,919 depending on skills and experience

Permanent | Full Time Hours with flexible working patterns available

Our Role

As the Quality and Services Team Assistant, you will provide specialist services to the Risk, Audit, Insurance and Compliance teams as well as to the wider Corporate and Business Services (CBS) Directorate. Working alongside other support, engagement and services staff, you will help deliver a variety of tasks ensuring that the highest of standards are consistently met and enabling them to focus on delivery of respective BAU and improvement programmes of work.

There will be a requirement to learn and support efficient operation of SSE Group's Legal/Regulatory Change Notification Process via an internal web application called i-Comply using Casewise software. This will involve working alongside other services staff, liaising with Legal/Regulation subject matter experts, updating rule content and managing efficient notification and distribution of change.

You will be required to help manage workflow of document submissions via internal SharePoint Workbaskets and for helping to maintain the associated Quality Management System (QMS) documentation to ensure consistent and sustainable quality and delivery.

Your role will include assisting the Audit services team with the on-going provision and continuous improvement of their MI reporting, Audit Planning and Audit Tracking processes and the incorporation of updates into overall iGAP Integrated Group Audit Plans/output reports.

You will assist with key future improvement projects/initiatives as required such as Information Security/IT initiatives and will provide general ad-hoc support with team communications, engagement and co-ordination such as maintenance of holiday schedules, access to directories, processing Purchase Orders etc. Additionally, you will assist with training schedule administration and delivery as well as the subsequent use of appropriate systems such as LMS.

Your Skills and Experience

Educated to degree level and with knowledge and appreciation of Business Administration, Project and Quality Management, you will have excellent analytical and data driven report-writing skills. You should have good attention to detail, producing high quality work for the teams your support and be able to operate effectively in challenging situations. This is a multi-tasking team which covers a wide breadth of activities, so flexibility is absolutely key as is the ability to, think ahead and prioritise, keep calm under pressure and maintain a "customer is always right" attitude.

Building and retaining strong, credible and strategic relationships with both the business and key stakeholders at all levels will be crucial to your success. You must therefore possess excellent verbal and written communication skills and can communicate effectively with a wide range of individuals both internally and externally. This includes challenging appropriately, being able to negotiate, influence, resolve conflicts and promote change.

To thrive in this role, you must be flexible with great time- management and have a good knowledge of Microsoft O365 systems especially SharePoint and Teams along with Word, Excel and PowerPoint. Experience of set up and configuring new software for risk, audit, compliance team use e.g. eGRC systems would be a good advantage.

Previous experience in a Quality or Business Services, Business Support, Performance Reporting or Compliance based role is not essential but also would be advantageous.
